Contractor Module Add-on

 

Subcontractor Contractor/Commission Module

The Independent Contractor Module allows you to enter each driver (or contractor group’s) pay plan directly into RouteGenie and have RouteGenie automatically calculate each driver’s pay for a given period and produce an invoice with all necessary details to issue payments.

 

Adding the Contractor Module to your RouteGenie subscription:

  • Contractor Module can be added at any time.

  • Email help@routegenie.com asking for more information or expressing interest in the iFrame add-on.  A Product Manager or Account Manager will contact you.

 

Setting up Contractor Module:

  • RouteGenie Support Staff will contact you once the setup fee has been charged

  • Support will provide guidance setting up the Contractor

 

Adding a Driver Group Owner:

The first step of setting up the Contractor Module is to add a Driver Group Owner. A Driver Group Owner should be created if someone specific is in charge of that group of drivers.

  • Follow THESE directions to add a Driver Group Owner

  • Once a Driver Group Owner their profile will be viewable on the Users tab of RouteGenie

If there is no specific person in charge of the group of drivers, the default Driver Group Owner can be used.

  • Each instance of RouteGenie has a Driver Group Own built in

    • The Username is formatted: company_driver_group_owner

    • The Full Name is Group Owner

Setting up the Driver Group:

Info Tab:

Creating a Driver Group is the next step in setting up the Contractor Module. Custom pay will be set, along with which vehicles and drivers are a part of this Driver Group along.

  1. On the main menu along the left edge of RouteGenie, expand Users, submenu Driver Groups

  2. Select the blue + Add Driver Group, the view will default to the Info Tab

  3. Give the Driver Group ID a value

  4. Give the Driver Group Name a name

  5. Fill in a Tax ID number if applicable

  6. Toggle on Office Driver Group to open the toggle to allow the driver to log in / log out anytime

  7. Toggle on Show Pricing for Driver for the contractor driving to have the ability to see their compensation in the Driver App

  8. Toggle on Include Tolls in Price if TOLLS have been setup in RouteGenie

    1. If tolls have been setup, the price paid for the trip can either be increased or decreased

  9. See Available Trips is tied into trip visibility, if TRIP VISIBILITY has been setup in RouteGenie

  10. Driver log in / log out at anytime is only available if Office Driver Group is toggled on

    1. If Log in / log out at anytime is toggled on a driver can:

      1. Log in the night before to view their route and shift information

      2. Request a shift from the dispatcher if no preassigned shift is present for that driver

  11. Single load only if toggled on will not allow multi loads to anyone in this driver group

  12. Show order price (Driver App) has two options:

    1. Included Company % - price displayed on the driver app will include the company %

    2. Excluded Company % - price displayed on the driver app will not include the company %

  13. Owner Personal Information, start to type the driver groups Username and select the blue match

    1. All the Driver Groups Owner will auto populate the remaining fields on the INFO tab

  14. Select the green SAVE button

Setting up the Driver Group - Pricing Tab

All the pricing entered here is what the drivers in this Driver Group will be paid.

Custom deadhead pricing:

  • Toggle on Use Custom Dead Head Pricing Model to pay a driver with ONLY one or more of the following:

    • Minimum Price, $

    • Per Mile Rate, $

    • Minimum No Show, $

    • No Show Per Mile Rate, $

  • Pictured below, this driver gets a minimum of $15 per trip, .90 cents per mile, a minimum of $5 for a no show, and .55 cents for no show per mile

Flat rate deadhead miles:

If these drivers are getting compensated for deadhead miles, alternatively Flat Rates can be used

In this example this driver group would get paid for dead head

  • $7.00 miles 0-4

  • $9.00 miles 4-8

  • $11.00 miles 8-12

  • No deadhead compensation past 12 miles

  • NOTE: the Pricing Parameters will take over when the customer is picked up

Per Mile Deadhead rate:


Alternatively deadhead miles can be paid at a Per Mile Rate, $

  • In the example below the driver is compensated .59 center per mile of deadhead

Pricing Parameters

Pricing Parameters can be added alone, or coupled with Per Mile deadhead rate or Flat Rate deadhead

  • The pricing parameters should be entered for each mode of that this driver group will be completing trips for (Taxi, Ambulatory, Wheelchair, Stretcher)

  • The pricing entered here is the money these drivers will make for the trips assigned and completed by them

  • Entering the pricing is the same as entering PAYER PRICING, only on the Driver Group level instead of the Payer Level

  • There is an extra field labeled YourCompanyName percent, %

  • If the driver will make 20%, 80% should be entered in the YourComanyName percent, % field

    • The example below is stating the driver makes .59 cents per deadhead mile, and %20 percent of the trip price

    • *Note: Remember deadhead miles to not need to be coupled with deadhead miles

Invoices Tab

Invoices (what the driver are owed) can be automatically created. To achieve this, select the Invoices Tab of the driver group.

  • Select the Periodicity, Daily, Weekly, Monthly etc

  • Select the Next Invoice Date

  • Select the Final Invoice Date, or leave this blank to be no end date

  • Enter the Billing Cycle, days, this will be the drivers payday

    • In the example below the invoices will generate weekly, on Fridays, and payday will be seven days later

Vehicles Tab

Specify which vehicles are owned to the Driver Group.

  • Select the vehicles from the Available Vehicles list to move them to the Owned Vehicle list

    • Alternatively Choose all at the bottom can be selected to move all the vehicles to the Owned Vehicles list

Drivers Tab

Specify which drivers belong to the Driver Group.

  • Select the drivers from the Available Drivers list to move them to the Added Drivers list

    • Alternatively Choose all at the bottom can be selected to move all the drivers to the Added Drivers list

Users Tab

Optionally add office works as members of the driver group. These users would only be able to see information in RouteGenie pertaining to this driver group.

  • Select the users from the Available Users list to move them to the Added Users list

    • Alternatively Choose all at the bottom can be selected to move all the Users to the AddedUsers list

Payers Tab

Exclude payers the driver group. These payers trips would not be available to assign to this driver groups drivers.

  • Select the Payer from the Available payers list to move them to the Exclude Payers list

    • This would be useful if these drivers are not certified to drive for that payer

Zones Tab

Limit this driver group to only work in specific zones (areas) and ZONES are setup in RouteGenie, the zones can be added to Chosen Zones.

  • Select the zone(s) from the Available Zones list to move it to the Chosen Zones list
